What’s The Best System For Productivity?

When it comes to productivity there are a lot of systems out there to help you organize your time and use it effectively.  One thing that people ask me a lot is, what is the best system for being productive?

The majority of my scheduling and productivity comes from the work that I did with a system called Mission Control.  I liked the idea of having a tool with me at all times to capture requests and the scheduling of time and space to ensure that things get taken care of.  It works for me.

But here’s the kicker when it comes to productivity, Mission Control may not work for you.  In fact it may be a terrible fit.

Productivity systems are like many of the different self improvement strategies that you get in the “Guru” world.  Whether they will work or not really depends on how well the system plays to your strengths.

I have talked about other systems like Getting Things Done from David Allen and Franklin Covey’s systems as well.  Both have a lot to offer in terms of productivity. Dave Crenshaw is a consultant here in my neck of the woods, Salt Lake City.  He has great tools and tips on productivity.  Would I recommend any of these systems or people to you?  Yes and no.

Yes because they are worth looking into because they all have great information.  No because I wouldn’t suggest that you  must use any one system.  In fact you may decide to take different systems that you have been exposed to and create your own system.

The key with any productivity system is that it has to play to your strengths to be effective.  There is no one-size-fits-all solution.

Here’s what really matters.

The one thing you must do is make good use of your time.  When you are a  business owner, particularly a new business owner, you have to manage your resources efficiently and effectively.  It’s not just about time.  It’s about what happens in that time that gets your business to cash flow positively and that builds your company for the future.

Pick a system that uses online tools to help you manage your offline life.

Smart business owners know that they have to schedule time to work on their business.  When I work with a client, this is where we start.  I want to see what kind of business habits they have.  Setting up specific rhythms for meetings and when things happen can help your company move forward productively and gets your team on the same page.

What productivity system is best?  The answer is the one that works best for you.  You won’t know what that is until you get out and try some different things to see what works.  If you have bad business habits, start learning about what is out there and start plugging it into your day-to-day business activities.

    So as I’m sure you’ve noticed working with me….sometimes I’m super fast at getting things complete and sometimes I fall behind. I do love the rule of a client of ours, Beate Chelette….it’s simple and if you do it consistently things get done. Here it is: 5 things a day on your list, don’t stop until you’re done them. (btw…she built a company that she sold to Corbus that Bill Gates owns so she knows her stuff)

         Ah – but wouldn’t it depend what those 5 items were? I would agree most successful people do more than 5 things – but if ’empty inbox’ were one of those things that’s a big task vs. take out garbage. So yes, 5 might not be enough so one must put the most important things on that short list and then the cream of most important rises to the top.

          Yes it does matter what those tasks are.  For instance if one of your goals today is to build a rocket ship.  You may be working for a long time.  My point with just simply having a list is that if you give someone an open ended amount of time or too long of a time period to do something, they will find ways to fill the time and won’t work efficiently.  It’s my number #1 complaint with just having a list.  Not to say that it can never work but attaching time limits to your activities can help people focus and not waste the time that they have.
